Position Title Office Administrator
Full Job Posting Role Overview
Reception and office services support to Seattle Corporate Office (40 and growing with 140 staff nationwide!)



Responsibilities
• Ambassador for Mark Anthony Seattle Corporate office.
- Answer, screen and/or refer telephone calls and routine external and internal inquiries.
• Open and close the reception area and phone system (office hours are 8:00 AM – 5:00 PM).
• Greet all office visitors and V.I.P. guests in a friendly and hospitable manner
• Ship and receive packages; sort and distribute mail incoming/outgoing mail
• Provide administrative support to various departments with specific assistance to the Executive Assistant to the President.
• Coordinate ordering of office kitchen supplies and product samples; maintain inventory
• Maintain office appearance and organization
• Arrange catering and meeting room setup for meetings and weekly staff lunches
• Assist with corporate event planning
• Order business cards, and other business stationary, for new and existing employees
• Track office services budget, and have manager approve office invoices in a timely manner
• Liaison with building management regarding building issues such as Security, Heating, Recycling, and Supplies
• Liaison for IT; manage inventory for IT equipment and assist with trouble shooting
• Manage company’s intranet contact list
• Arrange travel for office staff and visitors as needed
• Assist with new hire setup (office supplies, computer setup, track needs)
• Perform other duties as assigned or directed


Position Requirements
• Must be 21 years of age or older
• 3+ years of administration experience
• High school degree required, some college preferred
• Advanced computer skills (MS Office Word and Outlook 2007)
• Experienced in troubleshooting IT/tech issues
• Effective written and verbal communication skills
• Strong interpersonal skills with ability to interact with all levels of staff
• Eagerness to assist others and jump in when help is need
• Proven time management skills (prioritize, multi-task, and meet deadlines)
• Able to work well under pressure
• Organizational skills and excellent attention to detail is a must
• Able to work well under pressure with an upbeat, can-do attitude
